Privacy policy
Cap Town Hotel Sài Gòn respects your privacy. This page explains what information we collect when you book or contact us through this website, what we use it for, and what rights you have. We process personal data in line with Vietnamese law, including Decree 13/2023/ND-CP on personal data protection.
1. Who handles your data
Cap Town Hotel Sài Gòn, 28-30 Lê Anh Xuân, Phường Bến Thành, Thành phố Hồ Chí Minh. Phone +84 28 3823 1222, email info@captownhotel.com. We decide why and how the information you send through this website is processed.
2. What we collect
When you make a booking we collect:
- Your name, phone number and email (needed to confirm and contact you about the booking).
- Your country, expected arrival time and special requests (optional, entered by you).
- Booking details: check-in and check-out dates, room type, number of guests, price and the language you use.
- Minimal technical data such as your IP address, used to stop automated submissions and protect the website.
- What you type when you chat with the website's assistant (if you use it), with the time it was sent and the page you were on. We do not store the IP address of the chat. Please do not type card numbers or sensitive personal data into the chat.
- At check-in at the hotel: the details on the ID document (national ID or passport) of each guest staying, to make the residence declaration the law requires. This is collected at the front desk, not through the website.
We do not ask for card details on this website because you pay at the hotel. We do not collect sensitive personal data.
3. What we use it for
- Processing, confirming and managing your booking.
- Contacting you about the booking: confirmation, changes, cancellation, arrival time and help during your stay.
- Meeting legal obligations, for example guest registration and accounting records.
- Protecting the website from abuse and fraud.
We do not sell your data and do not use it for third-party advertising.
4. Legal basis
We process your information based on your consent (when you tick the consent box before sending a booking) and to carry out the booking you asked for. The time of your consent is stored with the booking.
5. Who we share it with
Your information is shared only as far as necessary with:
- Technical service providers that help us run the website (hosting, email delivery), under suitable confidentiality terms.
- Public authorities when the law requires it.
- Google, only if you agree to load Google Maps on the website (see the Cookies section).
- Anthropic, the provider of the Claude AI model the chat assistant uses: it receives only the messages you send in the chat in order to write answers, not the name, email or phone number in a booking.
6. How long we keep it
We keep booking information for as long as needed to serve you and to meet accounting and legal obligations. After that it is deleted or anonymised. You may ask for earlier deletion, except for what the law requires us to keep.
Chat conversations with the assistant are kept so the hotel can see what guests ask and improve its answers, and are deleted automatically after 90 days.
7. Your rights
You have the right to know, access, correct, restrict or object to processing, ask for deletion, withdraw consent and complain. To use them, email info@captownhotel.com or call +84 28 3823 1222, quoting your booking code if you have one. We will answer within the time the law sets. Withdrawing consent does not affect processing done before.
8. Security
The website uses encrypted HTTPS connections. Only authorised staff can see bookings, and each account has its own permissions. No system is completely secure; if an incident affects your data we will deal with it and notify as required.
9. Cookies and third-party content
The website uses only the cookies it needs to work and to remember your cookie choice. Google Maps and Google Analytics (if the hotel has switched it on) run only when you agree. Analytics receives page addresses only, never booking details or personal information. You can change your choice at any time with the “Cookie settings” button at the bottom of the page.
10. Who this is for
Booking on this website is for people aged 18 or over. If you book for a child, please give only the adult’s details.
11. Changes to this policy
We may update this policy and will show the date at the top. Important changes will be announced on the website.
